PRACTICAL AI WORKFLOWS FOR SMALL BUSINESS

Less busywork.
More room to
run your business.

The follow-ups, handoffs, and repeat admin add up. Invictus is exploring ways to make that work simpler—with better processes, the tools you already use, and AI where it earns its place.

Kentucky-based. Founder-led. Starting with real problems.

A SMALLER, CLEARER WORKFLOWIllustrative example

From a new inquiry
to a considered reply.

  1. Capture the essentials

Bring the request and key details together.

  2. Prepare the next step

Use a checklist, template, or AI-assisted draft.

  3. You review. You decide.

Check the facts and choose what to send.

A possible workflow to test together. Every business needs its own checks.

01 / WHERE WE CAN HELP

Sound like
your working day?

Start with the work that slows you down. These are examples of problems we could explore together, not promises of a ready-made solution.

01

“I keep entering
the same information.”

Details move from an email to a spreadsheet to another tool. Explore simpler intake, reusable templates, or a carefully scoped connection between existing systems.

REPEATED ADMINISTRATION
02

“Too much lives
in my inbox.”

Requests, follow-ups, and decisions are hard to find. Explore a clearer way to capture actions, keep context, and prepare drafts for your review.

INFORMATION & FOLLOW-UPS
03

“I’m always chasing
the next update.”

Work stalls when ownership or the next step is unclear. Explore better handoffs, practical checklists, and a shared view of what needs attention.

COORDINATION & HANDOFFS

The right answer may be no new software. A simpler process or better use of an existing tool can be the most useful change.

02 / THE APPROACH

Discover. Test.
Improve.

A small, focused experiment is easier to evaluate than a sweeping technology project. The proposed approach keeps the work visible and the decisions yours.

  1. 01

    Understand the work

Walk through one workflow: who does what, where information goes, and what keeps getting in the way. Agree what a useful improvement would look like.

DiscoverA clear problem and a practical starting point.

  2. 02

    Try a small change

Test a process change, an existing tool, or a limited AI prototype. Set boundaries for the information used and build in human review where it matters.

TestA bounded experiment you can inspect.

  3. 03

    Keep what helps

Compare the result with the starting point: effort, quality, cost, and ease of use. Improve it, document it, or stop if the value does not justify the investment.

    ImproveEvidence for the next decision.

AN EXPLORATORY OFFERING

One workflow.
One useful starting point.

Invictus is in the early stages of shaping this consultancy. Initial conversations will help identify a real problem and whether a focused discovery or small pilot makes sense. Scope, cost, information access, and success criteria would be agreed before any work begins.

03 / MEET THE FOUNDER

Practical experience.
A curious mindset.

Philip Rabe Founder, Invictus Supply Solutions LLC

Good tools begin with an understanding of how people actually work.

Philip brings together delivery and agile coaching, process improvement, software development, and hands-on AI agent prototyping. His interest is in helping small-business owners reduce manual administration and coordination so they can focus on the work that matters.

Founded in January 2026, Invictus Supply Solutions LLC is a single-member Kentucky business. Philip is now exploring a shift from procurement toward practical AI workflow consulting for small businesses.

The consultancy is taking shape. The aim is straightforward: understand the problem, make a useful change, and let the evidence guide what comes next.

A FEW PRACTICAL QUESTIONS

Before adding
another tool.

Do I need AI or new software?

No. The starting point is the problem. A process change, a checklist, or better use of a tool you already have may be enough. AI is an option to evaluate when it could help.

What would a first conversation cover?

One task that takes too much effort: how it works today, where it gets stuck, and what a better outcome would mean. You can describe it without sharing customer records or confidential documents.

Would AI make decisions for my business?

The proposed approach keeps you responsible for business decisions. Any pilot would define what a tool can do, what needs a person’s review, and how its output will be checked.

04 / LET’S TALK

What keeps
getting in the way?

Tell Philip about one recurring task, awkward handoff, or admin bottleneck. That is enough to start.
